I have spent more than a decade working directly inside health, disability, and not-for-profit organisations across Australia. I know what it is like to watch money leave through gaps that nobody has time to fix.

I work with NDIS providers, aged care organisations, allied health practices, real estate agencies, law firms, accounting practices, trades businesses, childcare centres, and commercial operators who are good at what they do but losing money on the edges. In the follow-up that never happened. The participant who waited three weeks to be onboarded because every step was manual. The quote that sat in a spreadsheet while the client booked with someone else.

I have helped organisations in health, professional services, and commercial sectors recover revenue through process automation. Manual onboarding taking 14 to 21 days. No CRM. Enquiries lost between channels. The capacity to grow was there. The system to capture it was not.
Before
Participant enquiries arrived through several different channels with no central tracking. Onboarding a new participant took two to three weeks because every step was manual. Service agreements, welcome documents, and support plan setup were all done by hand. Reporting to funders was compiled at the end of each quarter by pulling from spreadsheets and email threads. The team had capacity to grow but no system to capture the demand.
What was built
A CRM was implemented from scratch connecting every enquiry source into a single pipeline. The entire participant onboarding process was automated, covering first contact through service agreement, welcome documents, and support plan initiation. Average onboarding time dropped from 14 days to under 48 hours. Live reporting dashboards replaced the quarterly manual compilation. A new referral pipeline was built across three separate lead channels the organisation had not previously tracked or followed up systematically.
Result
Within 12 months the organisation had onboarded enough new participants through the automated pipeline to generate more than $70,000 in additional recurring annual revenue. No new staff were hired. The capacity was always there. What changed was the system that captured it.

PDF forms emailed back and forth. A CRM set up years ago and never properly used. Board reports taking days to compile by hand every quarter.
Before
Volunteer applications came in through email as PDF forms. Each application required manual follow-up, data entry into a spreadsheet, and a separate CRM entry that was frequently missed or duplicated. The CRM had been set up years earlier and never properly configured for how the organisation actually worked. Board and funder impact reports were assembled by one person from multiple disconnected sources at the end of each reporting period. Accurate and reliable, but time-consuming and impossible to do in real time.
What was built
The volunteer onboarding process was rebuilt using JotForms integrated directly into the CRM, replacing the PDF email chain with a digital intake that filed, assigned, and triggered next steps automatically on submission. The CRM was restructured so volunteer status, hours, and engagement tracked in real time with no manual entry. Power BI dashboards were built connecting directly to CRM and programme data, giving the board and funders a live view of participation, reach, and community outcomes that had previously taken days to compile.
Result
Volunteer onboarding dropped from five to seven working days to under 24 hours. The programme coordinator reclaimed several hours each week that had previously gone to chasing forms and manually updating records. The organisation's first fully automated board report was presented at the following quarterly meeting, generated in minutes rather than days.
